Write a quotation and turn it into a sales order

Quotations holds the first document in the sales chain. A quotation is written, sent, accepted and then converted, and every sales order in the app starts here.

You need

  • bizsuite.quotations.create
  • bizsuite.quotations.update

Steps

  1. Open Quotations and press New quotation. Choose the customer from your contacts or type a name, then add the lines. Picking a product brings its selling price in, and you can still change it on this quotation.
  2. Save it. It stays a draft, editable in place, until it is sent. A draft that has never been given a number can also be discarded.
  3. Press Send by e-mail. The e-mail carries a link the customer can accept from, and the acceptance is kept with their name and the date. Sending again replaces the link, so the old one stops working. If they say yes some other way, press Mark as accepted.
  4. On an accepted quotation, press Create sales order. The preview shows exactly what will be created: lines, prices, discounts and tax come across as quoted, and the quotation is then locked, with the reason shown.
  5. To change one that has already gone out, press Revise — or Renew once it has expired. Either makes a new draft and opens it. Duplicate does the same when you want a copy for another customer.

A sent quotation is never deleted, because its number must never be used twice. The quotation itself shows what became of it.
