Using AI in Mail, Documents and Spreadsheets

With the AI add-on, AI buttons in Mail, Documents and Spreadsheets draft, rewrite, translate and summarise text and write spreadsheet formulas. Only what you selected is sent to the AI, only when you press a button, and SISC does not keep it.

Steps

1. Reading an email: press Reply with AI for a draft reply, and choose the tone (formal, friendly or short) and the language; or press Summarise for a short summary of the thread. The email you have open and its subject are sent; its From, To and Cc lines are not.
2. Writing an email: press Write with AI, type what the email should say and press Write; or press Improve, Shorter, More formal, Fix spelling and grammar or Translate to rework your draft. Your instruction and your draft are sent.
3. Documents: select some text, then use the AI group on the Home ribbon, or the small Rewrite button that appears beside the selection. Write, Rewrite, Shorten, Expand, More formal, Translate and Summarise send only the selected text and what you typed.
4. Spreadsheets: select the cells, press Ask AI at the end of the formula bar, or AI on the Home or Formulas ribbon, and say what the formula should do. The selected cells and your sentence are sent. The spreadsheet checks the suggested formula before it is offered; press Explain to read what it does, and Insert to put it in the cell.
5. Every answer appears in a preview first. Nothing in your email, document or sheet changes, and no email is sent, until you press Use this reply, Insert or Replace. Discard throws the suggestion away, and Try again asks once more.

The buttons appear only when your company has the AI add-on, and they answer only when your company has switched on the language model in Company settings, under Billing, Subscriptions, “The language model”. The first time, a notice says what is sent. SISC keeps none of the text — no copy of the email, document or cells is stored, only a count of how many times the buttons were used. A very long selection is refused rather than cut: select less and try again.
