Record what somebody is paid

This is the record every pay run reads, and the single most common reason a first run pays nobody. It is kept on the person rather than on the run, dated, so a rise is a new record and last month’s payslip does not move.

You need

  • hr.compensation.update
  • hr.payroll.salaries

Steps

  1. Open Employees, click the person’s row, and choose the Pay tab.
  2. If the tab shows a notice instead of figures, this is the permission and not a fault: You need the “Payroll: View salary amounts” permission to see this. It is granted by name — no general read role includes it. Ask whoever administers your account.
  3. Press Set pay where there is nothing on file, or Change pay where there is. Pay is recorded from the date you choose. Payslips already calculated keep the figures they were calculated on.
  4. Give the Effective from date before anything else: The first day this pay applies. A payroll run uses whichever record is in force at the end of its period. Choosing a date a record already starts on replaces that record rather than adding to it, and the dialog warns you when it would.
  5. Enter the Basic wage and choose PaidMonthly, Fortnightly or Weekly.
  6. Add anything contractual on top with Add allowance: a Kind, the Name on the payslip and an Amount. Each allowance carries its own Counts towards social insurance and gratuity tick — Leave this off for an allowance your country does not treat as part of the contributory wage.
  7. Add deduction is for contractual deductions only, and nothing statutory belongs here: Contractual deductions only. Social insurance and income tax are added by the payroll run from your country’s rules.
  8. Press Save. If the record will not save, the amounts and the date are where to look — the message never repeats the figure back, because a failure body travels further than the form did.

Somebody recorded as a volunteer can have no pay at all, and the server says so by name: This person is a volunteer and is never paid, so nothing can be recorded against their pay. Change their employment type first.
