Record what somebody is engaged on

The employee record says who somebody is. The contract says what they were engaged on, from when, and until when — and it carries no wage at all, which is why this screen is safe to leave open.

You need

  • hr.contracts.create

Steps

  1. Open Contracts and press Add contract.
  2. Pick the person under Choose an employee, then the Employment type this engagement is on. It does not have to match the one on their record; the contract is the paper.
  3. Give the First day. Leave Last day empty unless the engagement really has one — Leave empty for an open-ended contract. The Ends column then reads Open-ended.
  4. Probation ends is optional, and it cannot be earlier than the first day.
  5. Working week is the week this engagement is measured against. Leave this as the default unless this engagement is on a different week from the rest of the business.
  6. Press Create. Nobody sets the Status by hand: it is worked out against today, so a row reads Active, Expiring or Ended on its own.
  7. When an engagement really ends, press End contract on its row and give a Last working day and a Why it ended. There is no free-text note: why somebody left is personal data, and this record deliberately holds none.

How much notice is owed, and how long a probation period may run, are not decided on this screen or anywhere else in the app. They come from the country pack stamped on your business when it signed up, which is also why a contract recorded last year is read under last year’s rules.
