Every screen and control named on this page is checked against the product at build time. If a name here does not match your screen, your workspace is on an older release.

Take a trial balance, a profit and loss, or a balance sheet

Every total on this screen is computed on the server from what is posted — nothing here is stored, and nothing here is a figure somebody typed.

You need

  • accounting.reports.read

Steps

  1. Open Reports and choose the report you want: Trial balance, Profit and loss or Balance sheet.
  2. Set the window. A profit and loss runs between From and To; a balance sheet stands As at one date, because a position is a moment rather than a stretch.
  3. On the trial balance, check the foot. If it says Debits and credits do not agree. Check for an unbalanced journal entry. then the books disagree with themselves and the culprit is a journal entry, not this report.
  4. For who owes what, open Receivables ageing or Payables ageing: each open document with its Due, its Days overdue and its Outstanding, bucketed from Not yet due through to More than 90 days overdue.
  5. For tax, open Tax return over a window. Drawn from invoices and supplier bills, by the rate each line was taxed at. Voided documents and expenses (which carry no tax) are not included. It then compares itself against the ledger and says The documents and the ledger agree. or The documents and the ledger do not agree. Check for a document voided after its period, a manual entry on a tax control account, or a document posted before the controls were set.

A charity also gets Statement of activities and Fund balances. If every row reads Not assigned to a fund, that is this: Funds are not available on this workspace yet, so everything is shown as not assigned.
