Offer a customer a price, then turn it into an invoice

A quote is the document that owes nothing. It has its own numbering and its own expiry, and it stays as the record of what was offered even after it becomes an invoice.

You need

  • accounting.quotes.read
  • accounting.quotes.create
  • accounting.invoices.create

Steps

  1. Open Quotes, press New quote and pick the Customer.
  2. Set the Quote date and the Valid until, then build the Lines exactly as you would on an invoice — Add line, a Description, a Qty, a Unit price and its Tax.
  3. Press Issue quote to fix the document. Issuing is final: the quote takes the next number in its own series and can no longer be edited. Nothing posts to your ledger — nothing is owed unless it becomes an invoice.
  4. Press Send when it goes to the customer. Once sent, a quote can be accepted or declined but its lines can no longer be edited.
  5. When they accept, press Convert to invoice, set the Invoice date and Due, and confirm. Raises a real invoice from these lines — numbered in the invoice series, posted to your ledger, and immutable. The quote stays as the record of what was offered, and can only be converted once.

The quote’s status then reads Invoiced and it stops being editable — This quote has become an invoice.
