Format a document from the ribbon

Open a document in Documents. The ribbon across the top has the tabs Home, Insert, Layout and Review. Select text first, or put the cursor where the next words will go: every button works on the selection or on what you type next.

Steps

  1. Home: choose the font and size, or press Bigger text and Smaller text to move one step at a time — each piece of text grows from its own size. Bold, italic, underline, strikethrough, text colour and highlight work as in any word processor.
  2. Superscript and Subscript raise or lower the selected characters — square metres, a chemical formula, a footnote mark. Press the same button again to put the text back on the line. The document opens in Microsoft Word exactly the same.
  3. Change case turns the selected text into sentence case, lowercase, uppercase or a capital at the start of every word. Bold, colours and fonts stay where they were, and Arabic is not changed.
  4. To copy formatting, select text that already looks right and press the paintbrush button. Then select the text that should look the same: it takes the font, size, colour and style at once, and the paintbrush puts itself down. Press Escape to put it down without painting.
  5. Paragraphs: lists, indents, alignment, line spacing and the direction buttons. A new line takes the direction of the first letter you type: Arabic makes it right-to-left and English left-to-right, by itself. A paragraph you have already written never turns round on its own; use Right-to-left paragraph or Left-to-right paragraph for that.
  6. Insert adds tables, pictures, links, page breaks, page numbers, a table of contents, the header and the footer. Inside a table the row and column buttons keep the cursor in its cell, so you can press them one after another. Symbol adds a symbol such as the copyright or euro sign, a degree or Arabic punctuation, and Date types today’s date in the style you choose.
  7. The colour, highlight, table, link, change-case, symbol and date boxes open below their button and close when you choose, press Escape, click elsewhere or press the button again.

Layout sets the page size, orientation and margins, and Review has the word count, comments and tracked changes. Undo and redo are always at the left of the tab row.
