Share a file or folder with people in your company

A file or folder you own can be shared with named colleagues or whole groups, to view or to edit. It is never a public link: only the people you choose can open it.

You need

  • office.files.read

Steps

  1. Open Files. Every file and folder row has a three-dots menu at its end. Open it and choose Share.
  2. Under Add a person or group, find a person or a group, choose Can view or Can edit, and press Add. Sharing a folder shares everything inside it.
  3. Who has access lists everyone who has it. Change someone’s access there, or stop sharing with them. History shows who shared what, with whom and when.
  4. The people you shared with find it under Shared with me on the start screen of Documents, Spreadsheets and Presentations. People also need access to SISC Library files, and to change a file they need the SISC Library edit permission.
  5. The same menu has Open, Rename, Move, Make a copy, Download, Copy link, Details and Delete. Link copied. It opens only for people who have access.
  6. On the start screen of Documents, Spreadsheets and Presentations, the same menu on a file under Recent, Shared with me or in a folder also has Rename, Move and Delete. A folder has Make a copy and Download, which saves it as one .zip; both stop at 200 files or 100 MB and say so. A file under On this device can be renamed, or put into the company’s files with Move to company files.

Only the owner can share, and someone with edit access cannot pass it on. The company’s shared files and the top folders cannot be shared.
