Why pay changed: attendance decides pay

A pay run measures each person’s period against their attendance. A scheduled working day with no attendance and no leave is not paid, and HR sees exactly why before anything is approved.

You need

  • hr.payroll.update

Steps

  1. A scheduled day comes from the person’s shift roster, otherwise their working schedule, otherwise the weekdays outside your weekend. Public holidays, the weekend and approved leave are never deducted.
  2. A scheduled day with no check-in and no approved leave is unpaid at the person’s daily rate. It shows in the run as Unpaid absence.
  3. A day shorter than scheduled is deducted by the minute, as Short hours, but only beyond the grace. The grace is Grace for a short day (minutes) in App settings, under Employment policy: A day worked shorter than scheduled by no more than this is not deducted. 15 when not set.
  4. Extra hours are never paid by themselves: overtime is paid only from an approved overtime request or claim.
  5. Who is measured: everyone who clocked in at least once in the period. If you switch on Attendance decides pay, everybody is measured, so someone who never clocks in is paid nothing for their scheduled days.
  6. To pay someone their fixed salary whatever the clock says, open Employees, open the person, choose the Personal tab and set Pay is measured from to Fixed salary — not measured. The other choices are Measured by attendance, Measured by approved timesheets and Attendance, with timesheet differences flagged; the default is Measured by attendance when the person clocks.
  7. Before approving, open the run in Payroll and click a person. The attendance and pay report shows their scheduled, worked, absent and leave days, short minutes and each deduction, and Download CSV saves it. To correct a line, use Override a line, give a Reason (kept with the run) and press Save and recalculate. This run is a preview. Nothing is paid or posted until it is approved.
  8. Approved short leave follows Short leave hours in App settings, under Employment policy. Not deducted is the default and excuses those hours; Deducted from pay takes them off pay by the minute as Short leave (deducted from pay); Deducted from annual leave takes them from the annual leave balance instead. The preview says which rule applied.

Before your first measured payroll, go through the preview for everyone who is paid a salary but does not clock in, and set them to fixed. The amounts in the report are shown only to people with hr.payroll.salaries.
