Take money back from a supplier: debit notes and returns
A debit note reduces what you owe a supplier for goods or charges that were wrong. A return sends goods back and raises the debit note in one step.
Steps
- Open a bill under Bills and raise a debit note against it. Take it by quantity or by amount for each bill line. Debit notes already raised against a line count together against what that line has left, and a total that passes what is still owed is refused.
- The debit note posts to payables and reduces the bill’s outstanding amount. It shows on the supplier’s statement and ageing, and the tax return nets it out. A bill that has debit notes cannot be voided.
- To send goods back, raise a supplier return from the bill. It issues the stock back to the supplier and raises a return debit note against the bill together. You need the permission to issue stock in Materials as well as the debit-note one.
- The bill, the payment voucher and the debit note each have a paper copy, a PDF and an email to the supplier; emailing them needs its own permission.
The bill’s drawer lists its lines, payments and debit notes, and the chain of documents behind it: order, receipt, payments, notes and returns.
