Payroll in the ledger

When your company has both HR and Accounting, every payroll run reaches the books by itself, in two steps: its cost when it is approved, and its net pay when it is marked paid.

You need

  • accounting.postingMap.update

Steps

  1. When a payroll run is approved, Accounting posts its cost, dated the last day of the pay period: gross salaries and employer contributions as expenses; income tax, social insurance and other deductions as amounts owed; salary advances repaid against the loan receivable; reimbursed expense claims as expenses; and the employees’ net pay as net pay payable.
  2. Wages carry the employee’s cost centre — from their position, or else their department — and basic pay is shared across projects by the approved timesheet hours of the period.
  3. When HR marks the run paid, Accounting moves net pay payable to the bank, dated the day it was paid.
  4. To choose the accounts, open Accounting, then the chart of accounts, and find Payroll accounts. Each part of a payroll names the account it uses today; pick another and save. The loan receivable starts as Not set, because no standard chart has an employee-advances account.
  5. A correction of a run reverses its cost and its payment exactly. A run whose period is locked, or whose account is not set, is not posted: the payroll screen says why, and Accounting lists it until the reason is fixed.

A payroll kept in another currency than your books is converted at the rate on file when the run was approved or paid; a rate typed later is not applied to it. Runs posted before this release keep their single entry.
